Which PDFs convert best to Excel?
PDF-to-Excel conversion works best when the PDF contains real, selectable text arranged in clear rows and columns. Reports, statements, price lists and exported business documents often fit this pattern. The tool detects each table and places it on a separate worksheet so the original groups remain easy to find.
Scanned pages are pictures rather than text. This first version does not run OCR, so an image-only scan will return a clear message instead of producing an unreliable workbook. If you can select and copy words from the table in your PDF viewer, the document is usually a good V1 candidate.
How to get a cleaner spreadsheet
Use the original digital PDF whenever possible. Tables with consistent column spacing, visible rules and repeated alignment are easier to detect than photographed pages or heavily designed layouts. Convert the file, open each worksheet and compare important totals, dates and headings with the source PDF.
PDFs describe where text appears on a page; they do not store the same row-and-column model as an Excel file. Extraction therefore reconstructs table structure and may need a quick human check before the data is used for decisions.
- Prefer a digitally generated PDF with selectable text
- Use files with clear table boundaries or consistent alignment
- Check merged cells and multi-line headings
- Verify totals and identifiers against the source
- Save a reviewed copy before continuing analysis
What the generated XLSX contains
Every detected table is written to its own named worksheet. The first row is styled as a header, columns are sized for readability, filters are enabled and the header remains visible while scrolling. Clear numeric values are stored as numbers so they can be summed or sorted, while ambiguous identifiers remain text.
The converter also treats text that could be interpreted as a spreadsheet formula as plain content. This prevents text extracted from an untrusted PDF from unexpectedly running as a formula when the workbook opens.
Extract the relevant PDF pages before converting tables
If a report contains only a few pages of relevant tables, Extract pages can produce a focused PDF before you run PDF to Excel. Split PDF is useful when separate report sections should become separate conversion jobs. Work from the original table pages before adding watermarks or page numbers, since extra page text can interfere with table detection.
PDF to Excel supports selectable-text PDFs, with a 25 MB input limit, 50 pages, 50 detected tables and 200,000 cells. It does not perform OCR on scans. The extraction and split tools have their own 20 MB browser limit; they do not change a scanned page into selectable text.

Frequently asked questions
Is the Do Scan PDF to Excel tool free to use online?+
Yes. You can use this web tool for free without creating an account. For private offline scanning, OCR, PDF management and more on-device document workflows, get the Do Scan app.
Can this convert a scanned PDF to Excel?+
Not in V1. This version supports PDFs with selectable text. OCR for scanned or image-only tables is planned as a later capability.
Will every PDF table look exactly the same in Excel?+
Not always. PDF pages store positioned text rather than true spreadsheet cells, so complex layouts, merged headings and irregular spacing can require manual cleanup.
How are multiple tables exported?+
Each detected table is placed on its own worksheet in one XLSX workbook, with worksheet names that identify the source page and table order.
